California's Orange County Superior Court (OCC) has been a FileNet customer since 1989. In addition to helping Orange County manage the reams of documents generated by its court cases, the FileNet Image Manager system is used for the storage and retrieval of jury questionnaires, one-page documents that every juror must complete before entering the jury pool.
With 300-500 questionnaires to process every day, manual data entry is a tedious, time-consuming project. Operators are required to capture name and address information, marital status, age, occupation, employer information, California driver's license number and other data that is important to managing the jury pool. OCC was a longtime user of FileNet Capture, but they found that it did not have the capabilities to capture machine print, checkbox information and barcodes, all of which are featured on the questionnaire. |

Seeking to reduce input time and lower data entry costs, Orange County installed Datacap Components, running inside a FileNet Capture Professional 3.1 system at its Santa Ana, California processing center. The new solution was tested and put into production in mid 2003.
Datacap Components is a suite of capture tasks developed by Datacap, working closely with FileNet, to add forms processing functionality to FileNet Capture. Customers select the Components they need to accomplish their objectives. The components install and launch inside FileNet Capture, appear on the Capture toolbar, run in a Capture Path, and are otherwise seamless to the FileNet Capture user.
Now OCC questionnaires are scanned and the image enhanced using FileNet Capture components. Then the Capture Path routes the images to Datacap Components, which provide OCR/ICR recognition of hand-printed data, checkboxes and barcodes. Once the data is extracted and verified, FileNet Capture releases the data and images to FileNet Image Manager.
While OCC could have installed a stand-alone Datacap Taskmaster system and achieved similar results, they found added benefits by integrating Datacap Components into their FileNet system. For example, installation and training time was minimal and the solution was more cost-effective.
"We are longtime FileNet users, and our technical staff is trained and ready to implement and support FileNet," says Lana Dinh, of Orange County Courts' Document & Record Imaging Systems. "Plus, we have a FileNet site license, so there's no cost for us to add document scanning workstations."
OCC's Lana Dinh reports that the Datacap Components, running inside FileNet, has enhanced productivity significantly. "Staff that perform document scanning and recognition have noticed a tremendous improvement of more than 50%."
